Data Migration & Import

Switching from Cliniko, Halaxy, Power Diary, Splose, ShiftCare, Nookal or a spreadsheet? Bring your data across yourself with a guided wizard - no consultant required. Upload a CSV, Excel, JSON or ZIP export and Maree-CareFlow auto-maps the columns, validates every field (NDIS numbers, dates, emails, phones), de-duplicates against your existing records, and shows a full reconciliation report. Nothing touches your live data until you review and sign off - and you can roll the whole import back with one click until you go live. Brings across participants, staff, sites, contacts, NDIS plans, funding pools, goals, appointments, clinical / progress notes and billing history. Tick exactly which aspects to import - keep everything, or leave out anything you would rather not bring across (for example historical invoicing). Included free for every organisation, on every plan including Free.

NDIS Billing & Invoicing

Complete NDIS financial workflow: time entry logging with NDIS Support Catalogue lookup, approval workflow (draft→submitted→approved/rejected), bulk invoice batches, and one-click myplace CSV export. Each state and territory's own published price limit (ACT, NSW, NT, QLD, SA, TAS, VIC, WA), with a new line priced from where your practice is registered - and any rate overridable by hand.

Motor Accident & Injury Scheme Funding

CTP coverage in every state and territory: TAC (VIC), MAIB (TAS), CTP/SIRA (NSW), MAIC (QLD), CTP (SA), ICWA (WA), MAIC (ACT), MAC Scheme (NT) - part of 13 supported motor accident and WorkCover schemes. Per-scheme fields include claim number, insurer, session approval tracking with visual progress meters, approval expiry countdown, and legal proceedings flag.

HICAPS / Medicare Better Access Billing

Prepare and track Medicare and HICAPS claims through the PRODA channel - Medicare Better Access items 10950-10970, CDM plans, per-practitioner provider-number validation, DVA/TAC/MAIB as native funding types. This build captures and validates claims and calculates local benefit estimates; direct electronic lodgement to Medicare/DVA is on the roadmap and is not yet included - claims are exported for lodgement through your existing channel.

Feature 15
NDIA PACE Bulk Claiming (Portal Upload)

Generates NDIA PACE-format bulk payment request files (CSV) validated row by row against the current NDIS Support Catalogue, ready to upload to the myplace / PACE provider portal, with claim status tracking (submitted/accepted/rejected/paid) recorded in the platform. Note for accuracy: the NDIA does not publish a machine-to-machine claiming API, so no product can submit PACE claims "directly" - Maree-CareFlow produces the exact portal-ready file and tracks the outcome, and in-platform budget tracking helps prevent invoicing against exhausted budgets.

AI & Clinical Documentation

Feature 19
AI-Powered Clinical Reports

Generate 5 NDIS report types (Progress Report, FCA, AT Justification, SIL Assessment, Home Modification Report) using a built-in local AI engine (Ollama) - by default data never leaves your server; you can optionally connect your own cloud AI key. Mandatory AHPRA client consent checkpoint. Practitioner attestation required for approval. BSP report generation is hard-blocked at the API level - our own decision, stricter than the NDIS Commission's February 2026 position statement, which neither endorses AI in this work nor prohibits it. Built with controls that support your AHPRA and Privacy Act (APP 3/6/8/11) obligations and align to ACSQHC guidance. Maree-CareFlow is a practice-management tool, not a registered medical device.

Feature 20
AI Session Transcription

Cloud transcription (AssemblyAI, your own key) with an on-premise Whisper fallback. SOAP note drafting from the transcript uses your own Anthropic key; with AI_LOCAL_ONLY set, the product hands you a blank SOAP template to complete rather than sending the transcript offshore. Client AI consent required before any audio is sent to the transcription service (APP 6/APP 8 compliance). Transcripts stored in secure object storage - never auto-saved to clinical notes without practitioner review.

SDA Property Compliance

NDIS SDA Design Standard 2021 compliance checking for Improved Liveability, Fully Accessible, Robust, and High Physical Support design categories. Measurement recording (doorway widths, corridor clearances, bathroom turning circles, ramp gradients). AI photo assessment via the built-in local AI vision model (Ollama llava). A CareFlow Measuring Stick in the photo is an optional calibration aid - the assessment runs without one, and reports millimetre figures only when a ruler is visible.

Feature 24
Audit Trail

Immutable, trigger-enforced audit trail recording every create/update/delete action with the signature-verified user identity, entity type, entity ID, timestamp and a SHA-256 hash of the request, plus field-level before/after change tracking on client records (personal and clinical values redacted). Sensitive reads of client, clinical and billing records are logged too. A database trigger blocks any update, delete or truncate of the trail. On a shared-hosting install where the database user is also the database owner, that user could drop the trigger - so on cPanel the protection is as strong as your control of the database account. Admin panel for browsing, searching, and filtering. Export capability for NDIS audits and legal discovery.

All plansNDIS audit-readyImmutable
Feature 25
Cancellation Analytics

Flagging of NDIS short-notice cancellations. Cancellations are assessed against a business-day window (weekends excluded) and short-notice cancellations are flagged for late-fee billing, so the claimable ones are not missed. Confirm the window against the current NDIS Pricing Arrangements for your supports before you rely on it for claiming. Cancellation rate monitoring per client, practitioner, and organisation. Revenue impact reporting quantifying recovered late fees. At-risk client identification.

Feature 26
Claim Integrity Engine

Automated billing-integrity checks that flag the patterns funders and auditors care about - the same service claimed twice, overlapping or impossible appointments, claims with no supporting note, and billing that spikes against a practitioner's own history. Every flag is written to a tamper-evident, hash-chained ledger and routed through an admin review workflow, with conflict-of-interest declarations built in. Gives NDIS providers continuous, audit-ready claim assurance instead of a once-a-year scramble.

Practice+Fraud detectionAudit-readyTamper-evident
Feature 27
IHI Validation

An Individual Healthcare Identifier lookup against the national HI Service, with the result recorded against the participant. It needs your practice's own NASH certificate and service URL. Until you have both in place the lookup returns a result clearly marked as unverified and tells you the path is a stand-in - and a half-configured connection is refused rather than faked, so a number is never shown as verified when it has not been.

Practice+Needs your NASH certificateDigital health
New · Feature 28
Behaviour Support Plan Authoring

Write a participant's NDIS behaviour support plan inside the product instead of in a separate document. A section skeleton to start from, a new draft from any earlier version, and history that is kept rather than overwritten. When the specialist behaviour support practitioner attests a version it freezes under their own name and registration number with a content hash, any earlier attested version becomes superseded, and the participant's record shows which plan is current. Links to the restrictive-practice register entries the plan authorises. It is not a submission channel: no plan is sent anywhere from here, because the NDIS Commission publishes no machine interface to send one to - you lodge through your usual channel. Reading and exporting a plan you have already written is never blocked, even if you stop paying for the add-on, because a plan is a document you are required to hold.

MYOB Integration

Invoice and contact sync to MYOB Business via secure OAuth2 connection. Invoices raised in Maree-CareFlow appear in MYOB automatically - no double entry. Payments recorded in MYOB settle the matching invoice batch automatically; Xero and QuickBooks Online sync invoices and contacts but do not pull payments back yet.

Feature 35
Zapier & Make Webhooks

Not yet delivering - do not buy for this. The endpoint registry, HMAC-SHA256 payload signing, the delivery log and a working "send test ping" are all built and usable, so you can register a Zapier or Make hook today and verify the signature. What is not wired is the trigger: none of the 13 events currently fires on its own, so after the test ping a receiving system gets silence. We will not connect it by a shortcut, because the dispatcher commits the caller's database transaction and firing it mid-request could publish a half-written clinical note or invoice. It is being split into a record-then-flush step; until that ships this card describes a test harness, not an automation.

Feature 36
FHIR R4 API

Standards-based clinical interoperability via FHIR R4, covering the Patient, Practitioner, Encounter and ServiceRequest resources, with a public CapabilityStatement at /r4/metadata so another system can discover exactly what is available. Feature 37
My Health Record Upload

A clinical document is prepared as a FHIR DocumentReference for My Health Record and every attempt is recorded. No document leaves your install until the My Health Record conformance credentials are in place - which is an onboarding your practice completes with the Australian Digital Health Agency. Until then the attempt is logged as a stand-in, so nobody can believe a record was uploaded when it was not.

Feature 43
Smart Scheduling (Travel-Optimised Rostering)

Appointment slot suggestions ranked on a 0-100 travel score. Each candidate slot starts at 100 and is adjusted for the practitioner's real day: -30 when it leaves under 15 minutes' gap to the neighbouring appointment, -20 when the travel leg exceeds 30 minutes, +10 when the client is in the same suburb as the previous visit. Travel time is a geospatial straight-line calculation from lat/lng coordinates, falling back to a fixed estimate for suburb-only addresses. Scoring is on travel and the shape of the day - it does not rank on client preference, skill match or time of day.

Single Touch Payroll Phase 2

Full pay-run engine with PAYG tax scales and 12% superannuation built in. Run payroll for practitioners and support workers directly in Maree-CareFlow. Every pay event is assembled, validated and recorded in the shape the ATO's SBR service expects, with a submission history per practice. Direct lodgement to the ATO is not available yet, and we do not charge for it. A pay event is recorded as pending rather than sent, and the screen says so - it is never shown as lodged. Lodging for real needs the ATO's own software-provider onboarding and conformance testing, which we have not completed, so today you lodge through your existing channel using the recorded figures.
